How do I create a retroactive time off record for my Team Member?

This article shows you how to create a past-dated time off record for a Team Member.

Prerequisites

  • You have Admin, Team Manager or Time off admin access to your company’s account.
  • You are logged in to the Oyster Platform with your credentials.
  • You have received a request to create a retroactive time off record for a Team Member.
  • The request includes the following information:
    • Date(s) the time off was taken
    • Reason for the time-off
    • Documentation, if required (for example, a sick note)

Steps

  1. Click Team > Time off from the left navigation.
  2. Click the Create time off record button.

  1. The Create time off record window appears. Click the Find a team member drop-down and select the appropriate Team Member from the list.
  2. Populate the remainder of request:
    • Select the Time off type
    • Select the Reason (the options vary depending on the type of time off)
    • Add Notes supporting the reason (optional)
    • Specify the Start date and End date
    • Select the First day duration and Last day duration (if requesting a partial day)
    • Attach supporting documents (optional unless required)
  3. Click Create record.
    • The Team Member receives an email notification.

  1. Proceed to approve the time off record.
    • The Team Member receives an email notification when the time off report is approved.
  • Requests that are not approved before the start date of the time off will be automatically rejected.
  • If you have an HRIS integration and you don't have this ability built into your integrated platform, you need to turn off the integration temporarily, follow the steps above, then restart the integration once done.
