How do I review timesheets for my team?

You can review and confirm the hours in your team's timesheets by going to the Time tracking page in the Oyster platform. 

 Review timesheets before the payroll cut-off date to ensure your Team Members get paid accurately for the hours they worked.

Prerequisites

  • You are logged in to the Oyster Platform as a Customer Admin, Time Off Admin, or Time Off Manager.
  • You have Team Members with timesheets in Pending approval status.

Steps 

  1. In the left navigation, click on Team and select Time tracking to view all timesheets for your team. Timesheets in Pending approval status are ready for you to review and confirm.

  2. Find specific Team Members' timesheets by scrolling or searching for their name. You can also filter timesheets by country, month, status, and more.

  3. Select Review timesheet from the action menu on the right of the timesheet you want to open.

  4. The timesheet shows all hours recorded by the Team Member for that month, as well as any public holidays and requested time off. Total time worked is shown at the top left and any days with non-standard hours are labelled.

  5. Carefully review the hours recorded, particularly any non-standard hours. Select View details next to Total time worked to see a breakdown of all recorded hours for the month.

  6. Select Review time breakdown from the action menu on the right to see details for a specific day.

  7. Use the note icon to view any notes the Team Member added about the hours recorded.

  8. When you're done reviewing, click the Confirm timesheet button at the bottom right of the page.

  9. You'll see an overview of the total monthly hours. If everything is accurate, click Confirm

    If something seems incorrect, click Cancel to return to the timesheet. You can then request clarification from the Team Member about the hours they recorded.

10. Once you've reviewed and confirmed a timesheet, a Reviewed by admin label is added to the status. This lets you see at a glance which timesheets were reviewed.

All Pending approval timesheets are automatically approved on the payroll cutoff date, including any timesheets you have not reviewed.

Additional information

Only Team Members can edit their timesheets. Company Admins, Time Off Admins, or Time Off Managers can review and confirm timesheets, but cannot edit them.
