HiBob | Syncing contract changes

Changing your team member's contract legally requires an amendment to the employment agreement to be processed in Oyster. Through the HiBob integration, this process is streamlined: changes made to a team member’s records in your internal HRIS automatically trigger a contract change request on the Oyster platform. 

Prerequisites

  • You have Admin access to your company’s account.
  • You are logged in to the Oyster Platform with your admin credentials.
  • You have connected Hibob to Oyster.
  • The team member is linked to Oyster and HiBob (the same personal email address is used in both accounts). This ensures the changes will appear in Oyster.

Enable the integration add-on 

  1. On the Oyster Platform, click Company > Integrations.
  2. Select the My integrations tab.
  3. Click Settings on the HiBob integration. 
  1. On the General tab, navigate to the Integrations Add-ons section.
  2. Click Edit.

  1. Toggle ON the Trigger Contract Changes toggle.
  2. Click Save changes
You're done! When your team member’s salary and/or job title is updated in Hibob, this information is synced to Oyster and allows you to initiate the appropriate contract change removing the need for double data entry between the two systems.

Next steps

Start by updating your Team Member’s salary and/or job title in your HRIS. Oyster detects the change and a notification is triggered prompting you to navigate to the Contract change logs tab under the integrations section. 

 

Under the Contract change logs tab you will be able to see a history of all the changes made to your Team Members’ job title and salary, including the latest change you processed.
Note: For changes to appear, make sure your team member is successfully linked, i.e. they have the same personal email address in Hibob and Oyster. Select ‘Sync all team member logs’ to trigger a manual sync. 

 

Click on the ellipsis next to the specific change that you want to process for your team member and take any of the following actions:

 

  1. Process this log as a contract change
    If you’re only looking to process job title or salary, this is the faster option to go for. Make sure all information is accurate and simply click ‘Confirm’!

Note: If the currency you’re using for the team member in Hibob is different from Oyster, you will need to ensure the right amount is adjusted accordingly. A warning message will be visible to remind you to do so. 




 

 

  1. Add more changes to this log (i.e. a bonus or allowance) and process it 
    If you’re looking to process more changes on top of job title or salary for that effective date, select ‘Add more changes’ and you’ll be able to include more changes for that team member. The original log changes will be pre-filled to make the process more seamless. 



 

Once you select to process the log, Oyster will consider that is the latest source of truth for the team member’s job title and salary, and that log as well as any logs pulled previously will be discarded. Any future changes will still be pulled. After submission, a contract change process is successfully triggered.
